PUBLICATION TERMS & CONDITIONS
Any reference to ICML contained herein shall mean the Foundation for the Institute of Oncology Research (IOR), Via Francesco Chiesa 5, CH-6500 Bellinzona, as organizer of the 18th Internal Conference on Malignant Lymphoma (18-ICML), as well as any contractors or representatives performing services on its behalf.
The following Publication Terms & Conditions shall apply to the publication of any Materials submitted in the context of the 18th ICML edition, taking place in an in-person setting in Lugano, Switzerland, from 17 to 21 June 2025.
The scientific programme and the e-poster gallery will be also available to:
- registered attendees, via the 18-ICML conference platform; live and on-demand until 12 December 2025;
- ESMO (European Society for Medical Oncology) members, via OncologyPRO: on-demand as of the week after the conference, for 24 months.
For this purpose, “Materials” shall mean charts, slides, drawings, photographs, texts, illustrations, posters, video files, videos of presenters, voiceovers and other materials submitted. The publication of abstracts, published in the Abstract Book, supplement to “Hematological Oncology” (John Wiley and Sons, Inc.), is regulated separately. Please refer to the “Abstract Confidentiality & Embargo” section here below (in absence of a specific rule applicable to abstracts, the following terms shall apply by analogy to abstracts as well).
If the individuals submitting the Materials are not authors, by filing the Materials they represent and warrant that they are entitled to provide all representations and warranties contained herein on behalf of the authors and that the authors (i) are aware of their rights and obligations as described herein and (ii) accept them.
- The authors remain the holders of the copyright on the Materials and will be accordingly credited as authors by ICML.
- By submitting the Materials to the ICML, the authors grant to ICML the non-exclusive, royalty-free, fully paid, non-assignable, non-sub-licensable, non-transferable, worldwide right and license to publish the Materials and to use the Materials as described in the following. Accordingly, ICML is entitled to publish or otherwise make the Materials available in full or partially, such at the discretion of ICML, but without any obligation to make use of the Materials.
- The rights granted to ICML include the following:
- to make the Materials available to the 18ICML participants in whatever electronic, printed or other forms of communication during the 18-ICML. This may be done at live events, in print and via the ICML website and any other channels of communication used by ICML (e.g. in the context of the “Post 18-ICML” or “18-ICML Highlights” events);
- to store the Materials on servers and other hosting platforms under control of ICML;
- to record and reproduce the Materials on any electronic medium;
- to display or to broadcast the Materials in an electronic format, in particular on the 18ICML conference platform;
- to adapt the Materials in order to fit users' equipment and meet any other technical requirements (no changes in the substance of the Materials will be made);
- to make a noneditable format source file of the Materials available for download to registered participants for educational purposes.
- ICML undertakes to forbid the ICML participants to republish any of the Materials made available. Nevertheless, the authors acknowledge that ICML cannot be held liable for any unauthorized republication by third parties.
- The authors represent and warrant (i) that they are legally entitled to grant to ICML the right to use the Materials as described herein, and (ii) that they are not bound by any restrictions from third parties, such as research institutes, sponsors or financiers.
- In case of copyright restrictions apply, the authors should ensure that they have permission to reuse it as described herein and include any applicable references.
- The authors of oral presentations undertake neither to divulgate nor to share the Materials before the end of the session during which the study is presented, as detailed in the conference programme.
The authors of poster presentations undertake neither to divulgate nor to share the Materials before the opening of the 18-ICML e-Poster Gallery, where scientific posters will be accessible to registered attendees, i.e. before Wednesday, 18 June 2025 (08:30 a.m. CEST).
With respect to the any further use or divulgation of the Materials once the embargo is lifted, the inclusion of the reference “[Oral presentation / Scientific poster] presented at 18-ICML (17-21 June 2025 - www.icml.ch)” is required. - The authors agree to hold ICML harmless against any claims, actions or damages resulting from the publication, viewing or use of the Materials in particular if the Materials infringe the rights of third parties.
- If the authors become aware of any content related issues (copyright infringement issues, mistakes in the accuracy of information, accidental disclosure of protected information, etc.), they will inform ICML immediately
- The authors shall disclose any potential sources of conflict of interest (any financial interest or relationship with corporate organizations, such as employment or leadership position in a company, consultant or advisory role, stock ownership, etc.) directly relevant or directly related to the work described in the abstract and in the Materials.
- The authors represent and warrant that the personal data contained in the Materials has either been duly made anonymous or deidentified or the necessary explicit consent or authorization or release relating to the processing of the personal data for the purposes listed herein has been duly obtained in compliance with the applicable data protection laws.
- The authors accept to share their full name, institution details and contact details as included in or linked to the Materials. This includes the authorization to ICML participants and to ICML to ask questions about the Materials in person in Lugano, during the conference days, and by email after the event.
- Any communication or notice to ICML regarding this Publication Terms & Conditions shall be addressed to the following e-mail address: abstract@icml.ch.
- This Publication Terms & Conditions are governed by the laws of Switzerland. Any dispute about the publications regulated herein shall be exclusively submitted to the competent courts of Lugano, Switzerland.
ABSTRACT CONFIDENTIALITY & EMBARGO
All accepted abstracts will be included in the 18-ICML Abstract Book, supplement to “Hematological Oncology” (John Wiley and Sons, Inc.), published online on Wiley Online Library on Saturday, 15 June at 23:59 CEST.
Prior to this date, submitted abstracts must be treated as confidential by the 18-ICML Organizing Committee, Advisory Board, reviewers, as well as the authors and research sponsors.
The authors of ICML abstracts retain the copyright of their abstracts when published in the 18-ICML Abstract Book.
The authors can reuse their abstract, i.e. they have permission to:
- reprint the abstract in collections of the co-authors’ writing;
- present the abstract orally in its entirety;
- use the article, figures and tables, in theses, dissertations and future works;
- reproduce the abstract for use in courses they are teaching;
- distribute copies of the abstract to colleagues, for non-commercial purposes only;
- post a copy of the abstract on the author’s personal and/or institution website, provided that a hyperlink to the abstract on Wiley website is included;
- translate the abstract to local language for reprinting.
Inclusion of the reference “This abstract is included in the 18-ICML Abstract Book, (URL to abstract publication)” is appreciated.
If an abstract has been published or previously submitted to other conferences (Encore abstracts) where copyright restrictions apply, authors should ensure that they have permission to reuse the abstract in full for online publication in the ICML Abstract Book and include any references applicable to previous or in progress publication.
Data and information included in all accepted abstracts are under embargo until Saturday, 15 June at 23:59 CEST.
Data and information beyond what is included in the accepted abstracts (e.g. full data sets, articles), may only be made public as follows:
- oral presentations: at the end of the session during which the study is presented, as detailed in the conference programme;
- poster presentations: as of Wednesday, 18 June 2025 (8:30 CEST), when they will be accessible to registered attendees in the 18-ICML e-poster gallery.
The Programme of the 18-ICML (with titles of the abstracts selected for oral presentation) will be published online on 30 April 2025.
Concurrently, also the titles of the abstracts selected for poster presentation will be released on www.icml.ch.
If a company is required to disclose data or other information from a confidential abstract before the public release, the press release must include a qualitative summary of the abstract avoiding quantitative information and must indicate that the data have been submitted to 18-ICML for presentation during the event and/or publication in the Abstract Book. The company must send a copy of the press release to abstract@icml.ch for reference.
