Privacy Policy


On 1 September 2023 the New Federal Act on Data Protection (nFADP) entered into force in Switzerland.

We are currently adapting our Private Policy to the new legislation: once approved, the latter document will substitute the current Privacy Policy.

 

Data Protection Policy


This policy governs and informs about the manner in which the Foundation for the Institute of Oncology Research (IOR) – FIOR, a Swiss-based not-for-profit foundation, processes personal data collected from participants of the International Conference on Malignant Lymphoma (ICML), abstracts’ authors and other contact persons, in order to provide our services in the best possible way. This statement explains how and why we are processing personal data.


Which personal data we collect


Depending on the type of services you use from us, we collect the following personal data:
1) Name, gender, profession, specialty/main focus, research areas of interest and HCP status;
2) institute/organization/company of employment and professional address, phone number, e-mail address;
3) passport details: if you request an invitation letter to apply for a visa to enter Switzerland;
4) pictures, curriculum vitae, disclosure of conflict of interest: if you are asked and you agree to be a member of ICML Advisory Board and/or Faculty;
5) disclosure of conflict of interest: if you are an abstract’s author and/or co-author;
6) VAT (Tax Identification Number): if you request an invoice;
7) technical meta data (IP address, browser version, operating system): if you use our website.
The collected data is only used for the respective purpose.
Private address is optional. No health, government or other kind of more sensitive information are collected.


Why we process personal data


ICML Registration
In order to register to ICML, you have to create a designated account on https://icml.ch.
The data and registration management system is hosted by OVH (France) and Hetzner (Germany/Finland).
To process your ICML registration we store information at the above mentioned points 1, 2, 3 and 6.
We do not process your credit card information. This is handled by Worldline Financial Services (Europe) SA. For further information on their privacy policy, you can refer to their website (https://www.six-payment-services.com/en/services/legal/privacy-statement.html).

Newsletter

If you attended ICML and/or you submitted an abstract to ICML in the past, we think you may be interested in the next ICML (2-3 e-mails in one year), in the ICML-ESMO Full Immersion Course, in the AACR meetings on malignant lymphoma and in the ESMO Meetings or ESMO Guidelines on Haematological Malignancies.

You can ask not to receive these messages anytime by clicking the corresponding link in the e-mails we send you or by getting in touch with us via info@icml.ch
If you are not receiving our newsletter and you want to be informed about ICML, AACR meetings on malignant lymphoma and the ESMO Meetings or ESMO Guidelines on Haematological Malignancies, you can subscribe to it through the ICML website.


Abstract Submission

In order to submit an abstract publication you have to create a designated account on https://icml.ch. The abstract submission system is hosted by OVH (France) and Hetzner (Germany/Finland).

If you create an abstract submission account and submit an abstract, we store information at the above mentioned points 1, 2 and 5 about first author and co-authors. We store also the abstracts content and, after the reviewers’ evaluation and on the basis of the Organizing Committee decisions, we pass it to our publisher (John Wiley and Sons Ltd) to be included in the Abstract Book.


Website policy
By visiting our homepage your web browser automatically sends some non-personal identification information to our server, such as: type and version of the web browser, name of your operating system, referrer URL, the address of the page you are visiting. The web server is hosted by OVH (France) and Hetzner (Germany/Finland).

Cookies
To make our website work properly, we may place small data information called cookies on your device. Our cookie policy can be found in the official website (www.icml.ch).

Google Analytics
We make use of Google Analytics to gather statistics about the usage of our homepage in order to improve the usability and the content we serve.
Google Analytics is a web analysis service provided by Google Inc. (“Google”). Google utilizes the Data collected to track and examine the use of our homepage, to prepare reports on its activities and share them with other Google services. Google may use the Data collected to contextualize and personalize the ads of its own advertising network.

 

What are your rights and how you can exercise them?


Affiliated external partners and companies

Registration for ICML implies that the participants agree to be contacted by ICML Secretariat at any time for communications pertinent to 17-ICML (registration, abstract submission, scientific and industry program) and future ICML editions.
On the basis of their partnership agreement, ICML Secretariat, AACR (American Association for Cancer Research) and ESMO (European Society for Medical Oncology) can mutually advertise their events related to haematological topics.

During the registration procedure, participants have the option of refusing to receive newsletter about ICML and its cooperating organizations (AACR, ESMO).

 

During their attendance on-site, participants may be requested to have their badge scanned by companies who wish to track their interaction with them. Should they agree, the following information is transferred: first name, last name, email address, city, country, specialty/main focus, research areas of interest and HCP status. 
In case of virtual participation, confirmation of HCP status may be required to access the industry program in the conference platform.

 

Cancellation of your personal data

The cancellation of your personal data may occur at any time upon your request, sent by e-mail to info@icml.ch .


Photographs and videos
Before September 1, 2023, it was possible to photograph and videotape the congress and participants and to use such photographs and videos in any internal and external communication referring to ICML (website, press releases, newsletter or other publications). By registering to past editions of ICML, consent to such uses was assumed.
This will change in the future editions.
