Registration

The 17-ICML will take place in an in-person setting in Lugano, Switzerland, from June 13 to June 17, 2023.
A virtual participation will still be possible for attendees who are unable to reach Lugano.
Faculty members, speakers and chairs are required to participate in-person.


It is recommended to register well in advance for the in-person participation: please note that due to space restrictions in the conference venue, attendance is limited and registrations are accepted on a first-come, first-served basis.

If the maximum allowed number of participants is reached (even before the early registration fee deadline, February 28), registrations will be closed.

In this case, a waiting list will be opened and, if registrations are cancelled, the participants on the waiting list will be confirmed. Participants who could not register, even through the waiting list, will be able to purchase the virtual registration, which includes live and on-demand streaming of the entire scientific program.

All participants are required to always wear their personal badge.
Access to the Scientific sessions and to the Exhibition Area will not be permitted without the personal badge.

Press registration

Accredited journalists are welcome to participate in the 17-ICML.
The registration is free of charge and must be done online. A letter of assignment or a valid press card is required. A confirmation of registration will be sent upon verification of the provided document.


Third-party registration

The third-party registration allows a person to register a certain number of participants through the MyICML account. Names of participants are to be provided at the time of registration.
Only the third-party registration administrator will have access to the MyICML account.


Group registration

The group registration allows the group administrator to register a group of two or more people without providing participants names at the time of registration. Names are to be provided by May 26, 2023. 
It is crucial to provide the correct e-mail address for each participant since the attendee will access the virtual platform and obtain the certificate of attendance using the same e-mail address.

The group administrator must create a MyICML account, unless available from previous editions (in this case a password reset would be necessary), before processing the group registration. 
The group administrator will be then required to choose the group registration type, to provide the group name and the number of participants.

Payment of the group registration can be made by credit card (2% commission surcharge will be applied) or by bank transfer (bank fees are not to be charged to the beneficiary).

The group registration confirmation will be sent to the group administrator after successful completion of the payment.
The group administrator may choose to collect conference material on behalf of participants or arrange individual pickups. The group administrator can schedule an appointment to collect the material by sending a request to registration@icml.ch.

Payment

Payments can be made by bank transfer (the name of the participant, or group name, must be clearly stated on the transfer - bank fees are not to be charged to the beneficiary) or by credit card (2% commission surcharge will be applied). The registration fee is VAT exempt.

A confirmation email will be sent after successful completion of the payment.
The invoice can be downloaded through the MyICML account.

If the payment is not settled within 10 days of registration, the registration will be automatically cancelled.

Certificate of attendance

The certificate of attendance can be obtained after the conference through the 17-ICML Virtual Platform upon completing the evaluation form.

Participants of the 17-ICML will receive a certificate of attendance but no European CME credits will be awarded.


Invitation letter

The letter of invitation for a visa application can be requested during the online registration process by providing the date of birth, the passport information (number, expiry date, date and place of issue) and the duration of stay in Switzerland.

The letter of invitation will be sent to the participant after the payment for the registration fee.

The invitation letter does not commit ICML to any financial obligations.


Cancellation, change and correction policies

Registration cancellation policy

Registrations cannot be cancelled.
Change of registration type is possible (please see “Change of registration type”).

Cancellation or modification of the Congress

If the ICML cannot be held in-person for any reason, in particular in the event of Force Majeure (i.e. Pandemic situation, risk to public health, disease, governmental laws, orders or restrictions, national or regional emergencies, fire, explosion, flood, earthquake, peril of the sea, strike or lockout, embargo, civil commotions, riots, wars, weather, strikes, labor stoppages or slowdowns or other industrial disturbances, shortage of adequate power, materials or transportation facilities or any similar cause beyond ICML organization’s reasonable control) the organizers may decide at any time to hold the ICML as a totally virtual conference (i.e. without in-person attendance). 
In such case the in-person registration will be valid for the virtual attendance and the participant will be entitled to a partial refund of the registration fee. The amount of the refund will be determined based on the costs incurred for the organization of the 17th ICML.
The same applies if the number of participants for ICML has to be restricted for any reason and your registration is amongst the excluded registrations.

 

Lastly, in the event of cancellation, modification, limitation, postponement of the ICML, all services obtained from third parties (e.g., accommodation, ancillary services, leased spaces, etc.) shall be regulated exclusively by the agreement with such third parties and by the cancellation clauses contained in such agreements. The ICML organizer shall not be held responsible for any loss or damage you should suffer in connection with such third-party services.
This means amongst others that by registering for the ICML you confirm that any liability of the ICML organizer with respect to services you have booked with third parties is excluded, also in the event of cancellation, modification, limitation and postponement of the ICML.

Change of registration type
  • Change of registration from virtual to in-person attendance. No deadline, available on a first-come, first-served basis (in-person attendance is limited).
    In case of a change from virtual to in-person registration, the difference between the paid fee and the in-person registration fee, valid at the time of the change request, has to be paid by credit card (2% commission surcharge will be applied) or by bank transfer (bank fees must not be charged to the beneficiary). 
  • Change of registration from in-person to virtual attendance. Deadline May 26.
    In case of a change from in-person to virtual attendance, the difference between the paid fee and the virtual registration fee, valid at the time of the change request, will be reimbursed by credit card or by bank transfer (in this case CHF 25.- bank fees will be deducted from the reimbursement).
    After May 26, a penalty of CHF 100.- will be applied for any registration change from in-person to virtual registration.
Name and Email address change policy (only for virtual registration)

Name changes can be performed online at no additional cost until May 26.
Email address replacements can be performed at no additional cost until My 26, sending an email to registration@icml.ch.
After May 26 an administrative fee of CHF 50.- will be applied for any change/replacement (payment by credit card, 2% commission charge, or by bank transfer). Request must be done by email (registration@icml.ch).

Name, Email address and Badge change policy (only for in-person registration)

Badge changes (name, city, country of the participant) and/or the printing of new badge can only be made on site, from 12 June, at a supplement of CHF 200.- each.

Privacy Policy

As required by the current legislation on data protection, personal data are handled according to the values of rectitude, correctness and transparency.

 

Registration for ICML implies that the participants agree to be contacted by the ICML Secretariat and its external affiliated partners for future communications regarding the Conference itself, to receive information related to the 17-ICML Scientific Program, and only for reasons related to organizational and operational needs.

Based on their partnership agreement, the ICML Secretariat, the AACR (American Association for Cancer Research) and ESMO (European Society for Medical Oncology) can mutually advertize their events related to haematological topics.

The registration process will not be possible if the privacy policy is not accepted.

 

Nevertheless, participants have the possibility to exit the ICML third parties mailing list. Should they choose to opt out, they will not be informed about scientific activities such as satellite symposia and exhibition held during the ICML days by our sponsors (industry program).
